ASANA HELP: How I would use Asana if I were starting my business from scratch today

If I was starting my business from square one and decided to use Asana for the first time. There are a few things I would do differently, and I am here to share them with you! 

Now that I know how to use this amazing Task Management software and all its capabilities, there are certainly a few things I would do differently if I were to start my business over again in order to save myself time.

If you are planning to start your own business, have just recently launched your business OR have been a business owner for a little while and are overwhelmed with:

    The first thing I would do if I were to start over again if I were to start using Asana as my Task Management System for the first time is to create 3 different Project Boards to operate from while learning the system. 

    These are:

    โœ๐Ÿผ  Ideas or Brain Dump

    โœ๏ธ  Leads

    ๐Ÿ”‘  Operations

    Typically as business owners, we are always thinking about new ideas for content, offers, website changes etc. In my opinion, it is best to keep these written down and in one centralized place so you can refer back to them when it is time to create new content or design a new course. This is why I always suggest having an Ideas or Brain Dump Project Board in order to dump these ideas in an organized fashion and you will always know where to find them.

    A Leads Project Board is a crucial one especially if you want to make sales and want to be able to easily follow up with your leads. This Project Board will be able to help you document crucial information you collect from your leads from their name, email, pain points, the last time you connected and more. Also, this Project Board will give you a central overview of all the leads you have in your business at any current time (as long as you are disciplined in keeping it updated ๐Ÿ˜‰).

    The last Project Board I would implement if I were to start over again is a general Operations Project Board. This Project Board would house any and all of my actionable tasks when first starting out. When getting use to Asana and learning the ins and outs of its features. It is easy to get carried away creating a Project Board for every single department area of your business.

    Until you are completely comfortable using Asana my suggestion is to use 1 Project Board for all actionable tasks so you do not overwhelm yourself with the system and eventually stop using it.

    Next, I would utilize Tags in a much more organized fashion. When I first started, I was using tags for 

    • The priority of a task

    • If it was a recurring or one off-task

    • If I need to make an SOP for that task

    • If I need to follow up with a client or subcontractor

    • If it was a task that was part of a launch

    There was too much going on in my colour-coded tags that it defeated their purpose. If I were to start using Asana again today, I would choose 1 way to use tags, such as using them to indicate the priority of a task and that is it. That way the colour coding system serves its purpose and you can easily see which tasks on a Project Board or on Your Tasks list are of a priority.

    Lastly, I would keep my Asana Inbox as clean as possible, especially if you are working with subcontractors or adding clients to your Asana Workspace.

    Your Asana Inbox is the place where all of your notifications will be, such as a new mention, or if a task is due that day. When getting used to a new system, notifications can easily get missed. By keeping your Asana Inbox clear of any notifications you have addressed or now longer need to see, it will keep your Asana Inbox nice and clean and reduce the overwhelm of a bunch of notifications in there to sift through.
